How We Work With Tour Operators
The commercial side: how rates are quoted, what a contract covers, when deposits fall due, and who does what once the group lands.
Net Rates, Not Commission
We quote net. You apply your own margin and sell at whatever price your market carries — we never see or set your retail price, and we do not publish a rate to your passengers that undercuts it. Quotes are per program rather than per component, because on multi-island routings the components are not independent: a ferry sailing that moves changes the hotel night, the guide day and the meal booking at once.
What a Quote Contains
- Per-person price at named group sizes — usually banded at 10, 20 and 30, because the per-head cost steps when a vehicle or vessel changes
- Named suppliers — the actual hotel, coach operator and guide, not a category
- What is included and what is not — departure taxes, port fees and tips are itemised rather than buried
- Validity — quotes hold for 30 days; inter-island transport is the component most likely to move after that
- Currency — USD by default; EUR on request, with the rate fixed at contract rather than at invoice
Contracting and Payment
- One agreement covers the whole program, not one per supplier
- Deposit at contract secures hotel blocks and any chartered transport
- Balance before arrival, on a schedule set in the contract
- Rooming list and final passenger numbers at an agreed cut-off — this is the date that matters most, because it is when ferry and air seats are released
- Cancellation terms follow the underlying suppliers and are stated in the contract rather than referenced
Who Does What
You hold the client, the customer contract and the retail price. We hold the supplier relationships and operate on the ground. We do not market to your passengers, do not sell them add-ons behind you, and do not take their bookings directly. If a passenger contacts us during the trip we help them and tell you.
Operating Support
Every program has a named local contact reachable in island hours and on the ground during the group's stay. When weather closes a ferry crossing or a Winair sector — which happens, particularly on the Saba run — we re-plan the day and tell you what changed before your client asks. Contingency is written into multi-island programs rather than improvised.
Working on a Caribbean Program?
Send group size, dates and any fixed points. We will come back with a routing and an indicative price.
Request a Group ProgramFrequently Asked Questions
Do you quote net or commissionable rates?
Net. You apply your own margin and control the retail price. We do not publish a competing price to your passengers.
How long is a quote valid?
Thirty days. Inter-island ferry and air capacity is the component most likely to change after that, particularly for December-to-March travel.
What currencies do you contract in?
USD by default, EUR on request. Where we contract in EUR the exchange rate is fixed at contract signature, not at invoice.
Will you deal directly with our passengers?
Not commercially. We assist your passengers on the ground during the program and report back to you, but we do not sell to them or take bookings from them.
What happens if weather cancels an inter-island crossing?
Multi-island programs carry a written contingency for the legs most exposed to sea state and visibility — the Saba ferry and the Saba and Statia air sectors especially. We re-plan the day locally and notify you before your client raises it.
